Holiday Park Awards Entry Terms and Conditions

These terms govern entry to the 2026–27 Holiday Park Awards. By submitting an entry, the entrant and the organisation or individual being entered agree to them. Please read them before submitting. Entry is free and purchasing a ceremony ticket is not a condition of entry, finalist status or winning.

The Holiday Park Awards are organised by JEM Marketing (Devon) Ltd, trading as Holiday Park Awards, a company registered in England and Wales under company number 16761050 (the Organiser). Questions may be sent to hello@holidayparkawards.co.uk.

1  Definitions

In these terms:

·    Entrant means the person submitting the entry and, where applicable, the organisation or individual entered.

·    Entry means the completed entry form, answers, declarations, links and supporting evidence submitted for a category.

·    Awards cycle means the 2026–27 Holiday Park Awards, culminating in the ceremony scheduled for 22 April 2027.

·    Closing date means 20 November 2026 at the time stated on the awards website, or any extended date published by the Organiser.

·    Eligibility period means the 24 months immediately preceding the Closing date.

2  Eligibility

2.1 Entries are open to eligible UK holiday parks, park groups, glamping businesses, suppliers, teams and individuals that meet the description and requirements of the chosen category. Any category-specific criteria published on the awards website or entry form form part of these terms.

2.2 The entered organisation, park, team, initiative, project or individual must have operated, worked or delivered the relevant achievement in the UK during the Eligibility period. Evidence may include earlier background where necessary, but the principal achievements relied upon must fall within that period.

2.3 The primary contact and the person submitting an entry must be aged 18 or over and authorised to act in relation to the entry.

2.4 An entry may be submitted by:

·    the organisation or individual being entered;

·    an employee or authorised representative acting on their behalf; or

·    a third party, including an agency, consultant or supplier, with the permission of the organisation or individual being entered.

2.5 The Organiser may contact the entered organisation or individual to confirm permission, eligibility or accuracy. An entry submitted without proper authority may be rejected or withdrawn.

2.6 Judges may not enter the Awards. An organisation that employs or is connected with a judge may enter, but that judge will be excluded from assessing, discussing or deciding the relevant entry. Sponsors, partners and their clients may enter, subject to the same criteria and conflict rules as every other entrant.

3  Entry process

3.1 Entry is free. Entrants may enter more than one category and may submit more than one entry in the same category. Each entry must relate to a genuinely different park, person, team, initiative, project or achievement and must satisfy the relevant criteria.

3.2 Entries must be submitted through the official entry method and received by the Closing date. The Organiser is not responsible for entries that are incomplete, corrupted, misdirected or not received because of technical failure or circumstances outside its reasonable control.

3.3 The Organiser may extend the Closing date or accept a late entry at its discretion. Doing so for one entrant does not oblige it to do so for another.

3.4 Entrants may request amendments or withdrawal up to the Closing date by emailing hello@holidayparkawards.co.uk from the primary contact address. Amendments or withdrawals requested after that date are at the Organiser’s discretion.

3.5 Entries must comply with the stated word limits, file types, upload limits and evidence requirements. Judges are not required to consider excess words, additional files, inaccessible links or material outside the permitted limits.

4  Entry content and evidence

4.1 Entries must be accurate, authentic, relevant to the category and supported by evidence where requested. Claims, figures and comparisons should be clearly labelled and capable of verification.

4.2 Entrants must not submit material that is unlawful, defamatory, discriminatory, threatening, obscene, misleading, plagiarised, confidential without authority, or that infringes another person’s intellectual-property, privacy or other rights.

4.3 Personal data and commercially sensitive information should be limited to what is necessary. Entrants should redact guest, employee or third-party details where those details are not needed for judging.

4.4 Artificial intelligence tools may be used to help structure, edit or improve wording. The entrant remains fully responsible for the entry. AI-generated or AI-assisted content must not invent, exaggerate or misrepresent facts, evidence, testimonials, images or results. The submission must reflect the entrant’s real work and genuine achievements.

4.5 The Organiser may request further information or evidence, contact the entrant, named referees or relevant organisation, check publicly available information, or arrange an interview or site visit where appropriate. Entrants must cooperate within any reasonable deadline given.

5  Conflicts of interest

5.1 Entrants must disclose any actual or potential conflict involving a judge, sponsor, awards team member or other person involved in the Awards. This includes close personal, employment, financial or significant commercial relationships.

5.2 A conflict does not automatically disqualify an entry. The Organiser will manage it proportionately, which may include removing a judge from access to, discussion of and voting on the relevant entry, and reallocating the entry to independent judges.

5.3 Entrants must update the Organiser promptly if a conflict arises or becomes known after submission.

6  Judging

6.1 Eligible entries will be assessed against the published category criteria and scoring structure. Judges will consider only the submitted material and any verification requested by the Organiser. Reputation, sponsorship and ticket purchases must not influence judging.

6.2 Judges’ individual scores, notes and deliberations are confidential. Moderation may be used to promote consistency, resolve material scoring differences and apply the published tie-break process.

6.3 Judges’ decisions, including decisions made following moderation, are final. The Organiser will not enter into correspondence about scores, rankings or the merits of another entry. This does not prevent an entrant raising a genuine procedural complaint under clause 14.

6.4 The judges may decide not to select a winner where entries do not meet the required standard. They may also award highly commended recognition where appropriate.

7  Verification and disqualification

7.1 The Organiser may reject or disqualify an entry before or after judging where it reasonably believes that the entry:

·    does not meet the eligibility or category requirements;

·    contains a materially false, misleading, unverifiable or plagiarised claim;

·    was submitted without the required authority or permissions;

·    breaches these terms or applicable law;

·    creates an unmanaged conflict of interest; or

·    could materially damage the fairness, integrity or reputation of the Awards.

7.2 Where appropriate, the Organiser may ask the entrant to respond or correct a genuine error before deciding. Serious misconduct, dishonesty or rights infringement may result in immediate disqualification.

7.3 Finalist, highly commended or winner status may be withdrawn after announcement if grounds for disqualification later emerge. The entrant must then stop using the relevant title and return any physical award if requested.

8  Categories and programme changes

8.1 The Organiser may combine, rename, suspend or withdraw a category where there are too few suitable entries, operational reasons require a change, or doing so protects the integrity of the Awards. Where reasonable, affected entries may be transferred to a suitable alternative category after consultation with the entrant.

8.2 The Organiser may change dates, timings, venue, format, judging arrangements or other programme details where reasonably necessary. Material changes will be communicated through the website or to affected entrants.

8.3 The Organiser may postpone or cancel all or part of the Awards because of events outside its reasonable control, including venue failure, severe weather, public-health restrictions, industrial action, civil emergency or supplier failure. These entry terms do not govern ticket or sponsorship refunds, which are subject to their separate booking terms.

9  Finalists winners and attendance

9.1 The Organiser will contact finalists and winners using the details supplied. Entrants are responsible for keeping those details current and responding by any stated deadline.

9.2 Buying a ticket or attending the ceremony is not required to enter, become a finalist or win. Non-attendance will not affect judging.

9.3 Awards and titles have no cash value, are not transferable and may not be assigned to another organisation, park, team or person. Physical trophies or certificates may be subject to reasonable production and delivery arrangements.

9.4 Entrants must not announce confidential finalist or winner information before any embargo specified by the Organiser.

10  Intellectual property and permissions

10.1 Entrants retain ownership of their original entry content. By submitting an entry, they grant the Organiser a non-exclusive, royalty-free licence to copy, store, review and share the Entry with judges, moderators, relevant contractors and professional advisers for administering, judging, verifying and archiving the Awards.

10.2 Entrants also grant the Organiser permission to use their organisation, park, team and individual names; trade marks and logos; submitted photographs, video and quotations; and non-confidential entry information to announce and promote entrants, finalists, winners and the Holiday Park Awards across websites, social media, email, press releases, editorial coverage, event screens, printed materials and future awards promotion.

10.3 The publicity permission in clause 10.2 is worldwide, royalty-free and continues for as long as the relevant awards content is reasonably used or archived. The Organiser may crop, resize, caption and make minor editorial adaptations, but will not knowingly materially misrepresent the entrant or its work.

10.4 The entrant confirms that it owns the submitted material or has all licences, releases and permissions needed for the uses described above, including permission from identifiable people and any photographer, videographer, agency or other rights holder. The entrant must identify any agreed usage restriction at the time of submission; the Organiser is not obliged to accept restricted material.

11  Confidentiality

11.1 Entries are shared with judges and those who need access to administer, moderate, verify or advise on the Awards. They will be asked to treat non-public entry material confidentially.

11.2 Entrants should clearly mark genuinely confidential material and avoid submitting trade secrets or information whose disclosure would cause disproportionate harm. The Organiser cannot guarantee that every fact in an entry will remain confidential where the same information is public, independently obtained, required by law, or included within material the entrant has authorised for publicity.

11.3 The publicity licence in clause 10 does not permit publication of material clearly marked confidential unless the entrant later agrees or publication is legally required.

12  Personal data

12.1 JEM Marketing (Devon) Ltd is the controller of personal data collected for the Awards. Personal data may be used to administer entries, communicate with entrants, manage judging and conflicts, verify claims, announce results, handle complaints and maintain an appropriate awards record.

12.2 Relevant personal data may be shared with judges, moderators, awards staff, service providers, contractors and professional advisers where necessary for those purposes. It may also be disclosed where required by law or to establish, exercise or defend legal claims.

12.3 Entry submissions, supporting evidence and associated personal data may ordinarily be retained for up to 24 months after the relevant awards ceremony. Data may be deleted sooner where it is no longer needed, or retained longer where reasonably required by law, for accounting, safeguarding, dispute resolution, legal claims or the permanent archival record of publicly announced finalists and winners.

12.4 Further information about how personal data is used, individual rights and how to make a data-protection request is set out in the privacy policy on the Holiday Park Awards website. Marketing communications will be handled separately and, where required, depend on the recipient’s preferences or consent; entering the Awards does not require agreement to unrelated marketing.

13  Liability

13.1 Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

13.2 Subject to clause 13.1, the Organiser is not liable for indirect or consequential loss, loss of profit, revenue, opportunity, goodwill or anticipated savings arising from entry, judging, category changes, postponement, cancellation or the use of publicity material.

13.3 The Organiser does not guarantee selection, publicity, commercial benefit, press coverage or attendance at the ceremony. Entry is submitted at the entrant’s own cost and risk.

14  Questions and procedural complaints

14.1 Questions, correction requests, withdrawals and procedural complaints should be emailed to hello@holidayparkawards.co.uk with the entrant name, organisation, category and entry reference where available.

14.2 A complaint alleging a failure to follow the published process should normally be made within 10 working days of the entrant becoming aware of the issue. The Organiser may appoint a person not involved in the original issue to review it where practicable.

14.3 The complaints process does not provide a right to re-judge an entry merely because an entrant disagrees with a score or outcome.

15  General

15.1 The Organiser may update these terms where reasonably necessary for legal, regulatory or operational reasons. The version applying to an entry will normally be the version published when the entry was submitted, unless a change is required by law or benefits entrants without reducing their rights.

15.2 If any provision is found invalid or unenforceable, the remaining provisions continue in effect. A delay in enforcing a right is not a waiver of it.

15.3 No person other than the entrant, the entered organisation or individual, and the Organiser has a right to enforce these terms under the Contracts (Rights of Third Parties) Act 1999.

15.4 These terms and any dispute or claim arising from them are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction, subject to any mandatory legal right that applies.

Entry declaration

By submitting an entry, the entrant confirms that:

·    they have read and agree to these terms;

·    they are authorised to submit the entry and grant the permissions described in it;

·    the information supplied is accurate to the best of their knowledge and evidence may be checked;

·    all actual or potential conflicts of interest have been disclosed;

·    necessary permissions have been obtained for submitted personal data, images, video, testimonials and third-party material; and

·    they understand that unsupported or materially misleading claims may be disregarded or result in disqualification.
